Own CRM system in 3 hours in Google tables

In this post I want to share my experience on how to use Google Doc to create a CRM system that will completely cover the needs of a small or medium-sized IT development studio.

I immediately refused all semi-finished solutions, such as amoCRM (convenient, but it’s too early for us), ShugarCRM (curve and slow, causes neurosis), etc., because I like the software to adapt to my business, and not the business processes to adapt for software (and at first you need something simpler with a low implementation cost). So - only google dock, only hardcore!



It took 3 hours to create this system - not more. Let's talk about how it works:

1. On the “Activities” sheet we have the initial data - we indicate all the contacts on which project, when, what they discussed and how the status of the project changed. (Projects, of course, are selected from the drop-down list - you can do this by right-clicking on the cell -> data verification, and in the "Rules" column specify the column with the list of projects that we have on the "Leads" page)



2. Leads - This is a summary sheet with all projects and statuses on them. Looking at him immediately it is clear in what condition the company’s sales (the dates of the last contacts are highlighted depending on the freshness. The longer the contact has not pinged, the whiter it is) This is done by “Conditional formatting” in the “Gradient” tab). The most convenient thing is that information about the last contact is pulled to each project and it is always visible how the last contact ended and what to expect next.



3. And, of course, planning: the “Contact Plan” sheet. Everything is simple here - we are writing a project, a date for future contact and a topic. The status indicates whether a contact has occurred or not yet, or a scheduled contact has been canceled.



On the “Calls for today” sheet, it’s already more interesting in terms of formulas - on the one hand, all future contacts are selected (and those that are highlighted for today: in conditional formatting, we set the condition to = today ()) and in the second column we highlight in red that are past due. The formula shows that as soon as the status on the page with planned contacts changes to "Held" or "Canceled", they will leave the list of missed ones.



Thus, in order to always be aware of what is happening and see a picture of all the projects, it’s enough for me to simply record the results of all my contacts, fill out the contact plan and note when they happened.

I’ll tell you that after starting accounting, the business vision changes dramatically, as does the approach to sales. Contacts with leads become periodic and systemic (and not only during panic attacks on the topic “We will soon go broke! 111 !!!!”).
