How we chose a service for electronic document management with customers

During the week I had to study 7 of the most famous ones - we compared them by parameters: from the integration capabilities with 1C to the quality of technical support. But first things first…
How it all began
To avoid problems with the law, we decided to use the service for legally significant electronic document management. When you first dive into the topic, we found out that you have to choose from 30+ options. In any case, so much was found on the Internet. I did not want to deal with all in detail, and there was not enough time. Therefore, we learned from contractors what they use. This helped narrow down the number of applicants to the 7 most popular.
So, we examined the services:
If you need a history of development companies, search the sites (links in the sources ). Spoiler: it is similar for everyone - they started as services for tax reporting, then they began to provide services for the exchange of electronic documents between contractors. Exceptions: Sphere Courier and E-COM - initially worked as EDI providers, Synerdocs - grew out of the internal document management system. And finally, there is an important difference between the products from Takskom and Kaluga.Astral - they are built into the solution from 1C.

1. Minimum rates
We started collecting data about services with the cost of services. And here I have two news for you. Good - absolutely all incoming traffic from all operators is free, you will be required to pay money only for outgoing documents. The bad thing is that it’s very difficult to figure out the prices indicated on the sites. And all because the tariffing and the principle of payment for all services are built in different ways.
I note right away that only minimal tariffs were considered. We have not very many contractors, the volume of workflow is not very large, and I did not want to spend a lot of money at the start.
The minimum tariff for 900 rubles. includes 100 documents. It allows exchanging documents only with counterparties whose electronic document management operator is SKB Kontur. At the same time, the client can purchase the “Minimum” tariff plan no more than once a year.
Taxcom / 1C: EDO
There are two work options on which payment for operator services depends. If you use the 1C-EDO solution, then the price is set by the 1C franchisee in your city. We didn’t get through in a week. The second option is to work directly, without reference to 1C. In this case, as we understood, the minimum package for a year will cost 1800 rubles. and include 150 outgoing messages (in each - a package of documents, including 1 invoice).
The minimum package is 500 rubles. per year, the limit is 50 packages per quarter. The package can include any kind of documents and in any quantity, but each should have no more than 1 invoice. They take payment for connecting to the service - 500 rubles.
Rates start from 2050 rubles. for 300 documents. They are calculated for a year.
Kaluga.Online / 1C: EDO
The minimum tariff will be 1200 rubles. for 300 outgoing messages per year. All that is above is 10 rubles. per pc One message (package, kit) can include 1 invoice and 2 related documents.
For connecting to the service, if you are not from retail, you will have to pay separately - from 300 rubles (250 + VAT). At the minimum rate for 300 rubles. (250 + VAT) you will receive 50 outgoing. Documents in excess of the tariff are paid higher - 7 rubles each. per pc Tariffs are valid for a month.
The minimum rate is 4000 rubles. It includes 500 outgoing documents per month.

2. Availability of demo access
It is not possible to see how work in the service looks from the inside in all cases. On some sites, the service is explicitly registered (Kontur.Diadok, Synerdocs, VLSI), but somewhere I had to try: Sphere. Courier - they requested via online chat, they provided username / password from the test version to E-COM after talking on the phone . Failed to test Kaluga. Online / 1C: EDO and Taxcom / 1C: EDO.
3. Technical support
The working hours stated on the site:
For the sake of interest, they called the indicated support numbers at 19.00 Moscow time. In Kontur.Diadok got through, though not very quickly. In Kaluga.Online / 1C: EDO, Synerdocs - no problem, silence in E-COM, but something interesting happened to VLSI - they got to the company's regional partner (no one picked up the phone at that time). And they also scored on the night from Saturday to Sunday those who declare the 24/7 regime. Result: we got through only to Taxcom / 1C: EDO.
What else could I find out about tech support:
Diagnostics and setup of the workplace is carried out using the Contour.Plugin. Other settings with a specialist connection are paid separately - from 2600 rubles. at one o'clock.
Taxcom / 1C: EDO
There is an online assistant on the site. You can choose the time of the call (depending on the load of support engineers).
There is software for remote connection of a VLSI specialist.
The utility for setting up the workplace (Helper) is used. Initial setup is free.
Kaluga.Online / 1C: EDO
The workplace is set up by the partner. Departure or remote connection are paid separately.
There is a single software installer that allows you to install and configure the utility necessary for working with electronic signatures, Courier, and Reporting services. There are 3 tariffs for technical support. One is free, the rest is for extra money. Although the deadline for resolving issues is stated less.
Of the goodies: a separate manager is assigned to the company for free (they give it a mobile one).
First of all, it was important for us whether there is integration with 1C. It turned out that everyone has it. That's just in almost all cases paid.
Minimum cost of integration with 1C per year:
The cost of integration with 1C is 11 800 rubles per year. Customization with typical configurations is plus 2300, with atypical configurations - from 10 000. Everything that goes beyond the framework of the basic integration solution is paid extra.
Taxcom / 1C: EDO
It is integrated into the 1C-EDO module. It is possible to exchange documents with contractors if there is a subscription to 1C: ITS. The price is set by 1C - from 17,000 to 55,000 rubles. in year.
For work, a tariff of 6,000 rubles should be connected. in year. Any improvements are paid separately.
It is provided free of charge with tariff packages from 1000 documents.
Kaluga.Online / 1C: EDO

5. Mobile solution
It seems that not the most popular feature among services for the exchange of electronic documents. We only found out that there is an application on iOS and Android in the Contour. Plus Synerdocs offers Viber and SMS mobile solutions for signing documents, and VLSI for notifications of new documents. There is no information on other services.
6. Exchange in roaming
Finally, I’ll talk about the most interesting. As in mobile communications, in electronic document management there are difficulties with the interaction of subscribers in roaming. Only it’s not about services outside the service area. In the case of document management, roaming involves the possibility of exchanging documents between customers of different operators.
I repeat, there are more than 30 services in Russia. And not everyone has a roaming connection with each other. You can see with whom the operator of EDI already has it, here .
On the one hand, almost all operators are connected to roaming centers - platforms that provide a secure exchange of invoices between customers of different services. On the other hand, the readiness of the operators themselves to configure roaming is different for everyone. Judging by the experience of our partners, the process is delayed in the case of Kontur. Diadoc and Taxcom / 1C: EDO, faster - VLSI and Synerdocs. There are no reviews for other operators.
And a little from myself
A paragraph for those who have read to the end. What service we chose in the end, I will not tell. I can only say that the study was not useful - a large counterparty forced us to connect to our exchange service. No one in the company expected such an ending to this story.
